QoopOne is a multi-tenant platform. Each cooperative operates in its own isolated database scope, identified by a unique subdomain or custom domain.
Register Cooperative Profile
Provide your legal cooperative name, unique code, official email, phone number, and choose your preferred portal subdomain (e.g., https://yourcoop.qoopone.com).
Identity & Branding Customization
Upload your official logo and configure primary and secondary theme colors inside the Admin Settings. This automatically updates your public landing page, portal theme, and email receipt headers.
Setup SMS & Email Alert Gateway
Enter your Sender ID and fund your SMS wallet to enable real-time alert triggers for savings deposits, loan disbursement, and meeting notifications.
2. Branch Scoping & Access Control
To support geographical growth while maintaining data integrity, configure branches and assign administrators with strict data visibility boundaries.
How Branch Scoping Works:
- All-Branches Access: Platform and global admins can view and report data across all branches.
- Branch-Scoped Access: Branch officers are restricted to viewing and managing members, savings, and loans specifically assigned to their branch.
- Mandatory Assignment: The Assigned Branch field is mandatory during member registration to prevent access locks.
Create Branches
Go to Branches -> Create Branch. Enter the branch name, code (e.g., ABJ for Abuja), location, and contact details.
Assign Staff Roles
When creating staff accounts (Admin, Accountant, Loan Officer), choose their branch scope to bind their query filter context.
3. Savings & Share Capital configuration
Set up product structures for regular savings, target deposits, and share capital accounts.
Product Setup Rules:
- Minimum Shares: Set the baseline share unit price and the minimum share holding required for members to qualify for credit.
- Flexible Savings: Set interest yield rate, compounding frequency (daily, monthly, or annually), and withdrawal lock-in terms.
- Auto-Deductions: Enable automated monthly savings deductions directly from member wallets on specific dates.
4. Loan Rules & Automated Credit Scoring
Ditch manual risk assessment. Configure dynamic lending boundaries based on member profiles and saving patterns.
Define Loan Products
Set interest rates (flat, reducing balance, amortized), repayment duration limits, and required guarantor counts.
Automated Credit Limits (The 1/3 Rule)
Enforce policies like "Max credit limit equals 3x of total savings balance" or configure strict net salary ratios to protect capital pools.
Credit Scoring Engine
The system auto-calculates scores based on repayment punctuality, target savings consistency, and active guarantor standings.
5. Maker-Checker Approval Workflows
Ensure financial operations pass security gates. All payouts, loan disbursements, and withdrawals must go through multi-stage validations.
Maker Action
A staff member (e.g., Loan Officer) prepares and initiates a transaction or request.
Checker Review & Approval
A senior supervisor or committee member (e.g., Accountant or Chairman) receives an alert, audits the compliance trail, and digitally authorizes the payout.
6. Member Onboarding & KYC Verification
Onboard new members securely. Support both staff-assisted registration and self-service online signups.
- KYC Validation: Capture and store National Identity Numbers (NIN), Bank Verification Numbers (BVN), utility bills, and passport photos.
- Mandatory Branch Selection: Always assign a branch at the time of creation to ensure the member falls under the correct reporting scope.
- Auto Wallet Provisioning: Once approved, the system instantly provisions a Savings Wallet and a Share Capital Ledger.
7. Rotating Ajo Savings Cycles
Configure rotating credit circles (thrift savings) with automated collection and disbursement rules.
Define Cycle Periods
Set daily, weekly, or monthly contribution frequencies, fixed slot amounts, and cycle duration.
Draw Sequencing
Sequence payouts using slot bidding auctions, direct assignment, or random lottery draws. Funds disburse instantly via automated double-entry ledger transfers.
8. Welfare & Benevolent Payout Configuration
Configure welfare categories (Maternity, Bereavement, Medical assistance) with custom payout limits, verification rules, and automated budget lines.
Claim Verification
Members upload medical reports or certificates when making a request. The Welfare Committee audits and approves the request.
Double-Entry Auditing
