Troubleshooting¶
This page helps you resolve common issues you may encounter when using QoopOne. If you cannot find a solution here, contact your administrator or QoopOne support.
Login Issues¶
I cannot log in — "Invalid credentials" error¶

| Wrong email or password | Double-check spelling. Passwords are case-sensitive. |
| Wrong Cooperative Code | Confirm the code with your administrator. |
| Account is locked | Contact your administrator to unlock it. |
| Caps Lock is on | Turn off Caps Lock and try again. |
I am not receiving the password reset email¶
- Check your spam or junk folder.
- Make sure you entered the correct email address.
- Ask your administrator to manually reset your password.
The login page is not loading¶
- Check your internet connection.
- Try a different web browser (Chrome, Firefox, Edge).
- Clear your browser cache: Ctrl + Shift + Delete (Windows).
Member Issues¶
I cannot find a member in the search¶
- Check the spelling. Try searching by member number instead of name.
- The member may have Exited status — change the Status filter to All or Exited.
- The member may not have been registered yet.
I cannot approve a member¶
- Check your role. Only Administrators and Committee Members can approve memberships.
- Contact your administrator to adjust your role if needed.
The "Register Member" button is missing¶
- Your user role does not have permission to create members.
- Contact your administrator.
Savings Issues¶
I cannot open a Regular Savings account for a member¶
- The member may already have a Regular Savings account.
- Check by searching for the member's existing accounts.
A deposit is not showing in the account¶
- Refresh the page.
- Check if the deposit was posted to the correct account.
- Go to Reports → Audit Trail to see if the posting was recorded.
The "Open Account" button is disabled¶
- Make sure you have selected both a Member and a Savings Product.
- For Fixed Deposits, ensure the Deposit Amount meets the minimum required.
- For Target Savings, ensure all required target fields are filled.
Loan Issues¶
I cannot submit a loan application¶
- Check that all required fields are filled (member, product, amount, term, start date).
- Ensure the loan amount is within the product's min/max limits.
- Ensure the term is within the product's allowed range.
The EMI is not calculating¶
- Select a Loan Product first — this is required before the EMI calculator works.
- Enter both the Loan Amount and Term in Months.
I cannot approve a loan¶
- Only Administrators and Committee Members can approve loans.
- A Loan Officer can submit applications but may not be able to approve them.
A loan repayment is not reducing the outstanding balance¶
- Check that the repayment was posted correctly. Open the loan details and review the payment history.
- Contact your administrator if the balance appears stuck.
Accounting Issues¶
A journal entry won't save — "Debits must equal Credits" error¶
- Make sure the total amount in all Debit rows exactly matches the total in all Credit rows.
- Review each line item for typos.
I cannot post to a closed period¶
- The accounting period has been locked. Contact your administrator to temporarily reopen it for correction, or post a new reversing entry in the current open period.
A financial report is showing zero¶
- Ensure the Date Range filter covers the correct period.
- Verify that transactions have been posted to the system for that period.
System Issues¶
The page shows "Access Denied"¶
- Your user role does not permit access to this page.
- Contact your administrator to update your permissions.
The page is loading slowly¶
- Check your internet connection speed.
- Avoid opening QoopOne on too many browser tabs at the same time.
- Try a different browser.
I see an error message on screen¶
- Note the exact error message.
- Try refreshing the page.
- If the error persists, contact your administrator or QoopOne support with a screenshot of the error.
Data I just saved is not showing¶
- Refresh the page (press F5 or Ctrl+R).
- Clear your browser cache if refreshing does not help.
Mobile / Browser Issues¶
QoopOne looks broken on my phone¶
- Use a supported browser: Chrome, Firefox, or Safari.
- Ensure you are using the latest version of your browser.
- Rotate your phone to landscape mode for wider table views.
I cannot upload a file (photo or document)¶
- Check the file size — most uploads are limited to 5 MB.
- Check the file format — accepted formats are JPG, PNG, and PDF.
- Try from a desktop computer if the mobile upload is failing.
Still Having Issues?¶

- Take a screenshot of the error or problem.
- Note the steps you took before the problem appeared.
- Contact your QoopOne administrator or send an email to support@qoopone.com with the screenshot and steps.
